PMG will provide full time staff on site as well as a full time photographer as an optional service. Our team proactively confirms all prior arrangements and stays in constant communication with your team and the facility's staff in order to:

  • Conduct or participate in the pre-event planning meeting
  • Monitor the receipt and delivery of shipments
  • Assist in the registration process
  • Conduct personnel briefings with suppliers
  • Provide updates on guarantees and attendee counts to hotel and suppliers
  • Monitor staffing levels at the hotel's front desk and food & beverage outlets to guarantee maximum service

1.Prepare a detailed chronological agenda, which highlights all logistical aspects of the meeting. Distribute as necessary to all hotel, supplier, and client representatives
2.Provide consultation in matching agenda requirements with contracted function space
3.Recommend food and beverage selections and quantities; assist in the development of special menus; negotiate standards and pricing to ensure quality and to meet budget objectives
4.Review and coordinate all audiovisual equipment and other special service arrangements
5.Coordinate all ground transportation services related to VIPs, airport meet and greet, off-site events, and hotel shuttle service
6.Plan logistics and assign space for other special needs wherever applicable, such as hospitality suites, receptions, etc.
7.Review banquet event orders
8.Communicate master billing requirements and procedures
